Article 1: Purpose

These General Terms and Conditions of Sale (GTC) govern the contractual relationship between VIBE (hereinafter "the Organizer") and any person (hereinafter "the Participant") wishing to register for the NolAlchemy retreat (hereinafter "the Retreat"), taking place from February 25 to March 6, 2025, i.e. 7 nights and 8 days.

Article 2: Description of the Retreat

The Retreat includes the services described in the program communicated on the official website of the Organizer or any other official support. Any service not explicitly mentioned in the program is not included.

 

The Retreat rate includes:

  • Accommodation for 7 nights,

  • Meals mentioned in the program,

  • Activities and workshops planned as part of the Retreat.

  •  

The Retreat rate does not include:

  • Round-trip airfare to New Orleans,

  • ESTA visa fees,

  • Activities and trips not mentioned in the program,

  • Personal insurance (travel, health, cancellation, etc.).

Article 3: Booking conditions

Registrations and payments:

  • Registration for the Retreat becomes final upon receipt of the duly completed registration form and full payment.

  • The accepted payment methods are: credit card, PayPal or bank transfer.

  • Validation of the place signifies full acceptance and electronic signature of these T&Cs.

Article 4: Passport and Visa

Passport :

  • Each Participant is responsible for checking the conditions of entry into the United States according to their nationality.

  • The passport must be biometric or electronic and valid for at least 6 months after the return date.

  • Official information regarding entry requirements is available on the website of the United States Embassy in your country:
    https://travel.state.gov/content/travel/en/us-visas/tourism-visit.html.

  • The Organizer cannot be held responsible for refusals of entry or any other incident related to non-compliant documents.

ESTA Visa:

  • Participants must apply for an ESTA (Electronic System for Travel Authorization) online before their departure.

  • The request is made on the official website: https://esta.cbp.dhs.gov/ for an amount of 21 USD (indicative price).

  • The Organizer will share essential information to help Participants complete their ESTA application and clear customs, if necessary.

Article 5: Transport

Flights and routes:

  • Round-trip flights to New Orleans are the sole responsibility of the Participant.

  • The Organizer cannot be held responsible for delays, cancellations or disruptions to flights.

Transport not included:

  • All travel not mentioned in the official program is also the responsibility of the Participant.

Exclusion of Non-Program Journeys:

  • Any journey or travel not included in the official program and carried out independently by the Participant is his/her own responsibility.

  • The Organizer cannot be held responsible for any incidents occurring in this context.

Article 6: Disclaimer

Risks and responsibilities:

  • New Orleans, while rich in culture and history, is known to have some security risks.

  • The Participant undertakes to respect the security recommendations given by the Organizer and to exercise vigilance.

  • A liability waiver must be signed by each Participant before the start of the Retreat, acknowledging that he/she participates with knowledge of the risks inherent in traveling and living in an urban environment.

Limitation of Liability Clause:

  • The Organizer declines all responsibility in the event of:

    • Pre-existing health conditions or unreported complications,

    • Loss or theft of personal items,

    • Incidents occurring during activities or journeys carried out outside the official framework of the Retreat.

Article 7: Consumption of alcohol

  • Alcohol consumption is permitted in a responsible setting. Anyone under the influence of alcohol must ensure that their behavior does not endanger their safety or that of other participants.

  • The Organizer reserves the right to exclude any person exhibiting dangerous or disruptive behavior in connection with the consumption of alcohol.

Article 8: Modifications and Cancellations

Cancellation by the Participant:

  • More than 60 days before the start of the experience: A refund of 50% of the amount paid will be made.

  • Less than 60 days before the start of the retreat: No refund will be granted.

Cancellation by the Organizer:

In the event of cancellation for reasons beyond the control of the Organizer (force majeure, weather conditions, government decisions, etc.), the sums paid will be refunded excluding irreversible costs incurred by the Organizer.

 

Force Majeure Clause Scope:

Force majeure includes, but is not limited to, natural disasters, epidemics (such as COVID-19), civil unrest, attacks, or government restrictions. In the event of cancellation or unforeseen changes due to these causes, the Organizer will not be held responsible.

Article 9: Media and Image Rights

  • The Participant accepts that images or videos of the Retreat, potentially including his/her participation, may be used by the Organizer for communication or educational purposes.

  • The Participant may refuse by sending written notification to the Organizer before the start of the Retreat.

Article 10: COVID-19 Clauses and Health Regulations

  • The Participant agrees to comply with local health measures in force at the time of the Retreat (COVID tests, vaccination, wearing a mask, etc.).

  • Any violation of these rules may result in immediate exclusion without refund.

Article 11: Acceptance of the T&Cs

  • The electronic signature or acceptance of these General Terms and Conditions constitutes a contractual commitment.
    No refund will be made if the Participant refuses to sign a release or does not comply with the conditions mentioned.

Article 12: Complaints

  • Any complaint must be sent in writing within 15 days after the end of the Retreat to the following address: VIBE, 6 rue des Bateliers, Bureau 3, 92110 Clichy.
